If you are leaving the military entirely you may not take the funds with you as they belong to TRUE. If you are not leaving the military you may be able to transfer the funds to another institution, reference our Policy #1

How do I request checks?     Back to Top
Click on the Acquisition Identification form and complete the required information. Please make sure that all required documentation is provided with the form. Requests take a minimum of two weeks to process once TRUE has received all paperwork.

How to I request travel?    Back to Top
For airfare click on Travel. Please follow the directions and you will be able to make your own airline reservations. Airfare will be approved and paid by TRUE directly if there are ample funds in the TRUE account. This site also enables you to make hotel and car rental reservations. These reservations must be reserved on your personal credit card, however, once you submit the Acquisition Identification form to TRUE, you may enter the costs for these expenses and TRUE will issue a check directly to the hotel (for in kind) or the US Treasury (for funds). TRUE cannot reimburse a federal employee so please plan accordingly and contact TRUE before your trip.

Click on the Establish New Account form complete the required information and fax to TRUE at 210-829-5513. You will receive an acknowledgement from TRUE within 24 hours with the new account number and some pertinent information.

I am applying for a federally funded study, what should I do?    Back to Top
It is imperative that TRUE be brought into the grant process as early as possible. TRUE requests that the PI or an associate register as an Authorized Organization Representative (AOR) at www.grants.gov under TRUE's DUNS number. Please refer to Federally Funded Research for more information and instructions.

Can I be reimbursed directly?    Back to Top
The rule is "no" as this can give the appearance of violation of the dual-compensation laws. However, in special cases, the JA may grant approval for reimbursement. In these rare instances, the JA's written opinion must be submitted with the request

The Primary and Secondary listed on the "Establish Account" form have access to the TRUE Department account

How do I complete the Acquisition Identification form?    Back to Top
This form is the most misunderstood form in TRUE's library of forms. This form is asking for basic information such as who is the check made payable, for how much, where is it being sent, why is it being written and where should supplies or equipment be sent. The form will prompt you on required information. If this information does not apply to your request, please fill in with "n/a". Information that TRUE must have is account number (including number AND letter), name of person completing the request, email and phone of the person completing the form (in case of questions), amount of check, made payable to, sent to, account authorized access name. Under "specific identification of request" this is an unlimited field for you to complete. If TRUE is writing more than one check please identify how much for each check, who each is made payable, and where each is sent. If this is for travel, please indicate the dates of the travel, city, state and name of conference. The form prompts you at the bottom to click for a printed copy. Each time you click this button TRUE is sent an email - so if you click 3 times and do not get the printed copy, please just either print the page to fax or download the adobe form (available on the bottom of the page) and complete.

How can I get a Continuing Education Grant?     Back to Top
Someone should contact TRUE with the potential donor's name, company, address, phone and email if possible. TRUE will contact the donor to request a continuing education grant.

How can someone donate funds to a TRUE account?     Back to Top
They simply need to make a check payable to TRUE Research Foundation and send to 8610 N New Braunfels, Ste 705, San Antonio TX 78217. They should reference the department account either on the check or in a memo to be certain that the funds are accounted for properly. If they need TRUE's TAX ID number, it is 74-2855021. If they need a letter, please have them contact TRUE directly.

When is a W-9 needed?     Back to Top
A W-9 is needed when any payment is made to an individual or company for services and the bill is over $600. For example - honorarium, consultants, etc.

I have a study and have funding, now what?     Back to Top
If you are with the Army or Navy you need to forward the protocol to TRUE so that we can begin the Statement of Work (SOW) to the Cooperative Research and Development Agreement (CRDA)- If you have received a contract forward that to TRUE also - do NOT under any sign anything until you have checked with us. If you haven't received a contract, please forward the contact information to TRUE so that we may contact them for the contract.
If you are Air Force we will also need a copy of the protocol (for our files only) and either the contract (if hard copy) or a contact name for us to contact for the contract.
If you have received Federal Funds and TRUE was named as the original recipient on the grant cover page, you will need to contact your institution to see IF they will transfer the funds to TRUE then supply us with the contact name

I have a study and have NO funding, now what?    Back to Top
If you have a protocol and are looking for outside funding, please forward TRUE a brief synopsis of the study and a budget. If you are studying a certain drug, please forward the names of Pharmaceuticals who manufacture either that drug or a drug in competition. If you will be utilizing a device forward the manufacturers name and the name of competitors. It is also helpful if you can forward any local representative's information who can help in the process. TRUE will send out emails on your behalf.

I am applying for a pharmaceutical study, what should I do?     Back to Top
TRUE would prefer that you contact us at the same time that you contact the company for information so that we can be aware that the study may be forthcoming. Upon acceptance as a site, TRUE will contact the company for the contract.
